This policy explains how Softhex Tech ("Softhex", "we", "us") collects, uses and protects personal data when you visit softhextech.com or use our products, including Pitlane, our workshop management software that connects to WhatsApp.
Who we are
Softhex Tech is a software company based in Cairo, Egypt. You can reach us at [email protected].
Our role
Pitlane is used by businesses such as car workshops ("customers of Pitlane") to manage their own customers. When a workshop stores its customers' details in Pitlane or messages them through WhatsApp, the workshop decides what data to collect and why. In that case the workshop is responsible for that data, and Softhex processes it on the workshop's behalf to provide the service. For data about our own website visitors and the people who sign up for Pitlane, Softhex is responsible.
Data we collect
- Account data: name, email address, phone number, workshop name and the team members a workshop invites.
- Data workshops add to Pitlane: their customers' names and phone numbers, vehicle details (such as make, model, year, plate and mileage), services, bookings, notes and follow-up records.
- WhatsApp messages: when a workshop connects its WhatsApp Business number, messages sent and received on that number, together with phone numbers, profile names and delivery status, are processed so they appear in the workshop's Pitlane inbox.
- Technical data: basic logs such as IP address, browser type and the time of requests, used to keep the service secure and working.
- Messages you send us: anything you include when you email us.
How we use data
- To provide Pitlane: showing conversations, records, bookings, reminders and reports to the workshop that owns them.
- To send and receive WhatsApp messages on the workshop's behalf through the WhatsApp Business Platform provided by Meta.
- To create and secure accounts, provide support and contact users about the service.
- To maintain, secure and improve the service.
We do not sell personal data, and we do not use workshops' customer data for our own advertising.
Who we share data with
We use trusted service providers to run Pitlane. They process data only to provide their service to us:
- Meta Platforms, for the WhatsApp Business Platform (sending and receiving WhatsApp messages).
- Supabase, for database hosting, authentication and server functions.
- Cloudflare, for website hosting, domain and email routing.
- Brevo, for sending service emails.
We may also disclose data if required by law or to protect the rights and safety of our users and the public.
Where data is stored
Our service providers may store and process data on servers outside Egypt. We choose providers that apply recognized security measures to the data they handle.
How long we keep data
We keep account and workshop data for as long as the workshop's account is active. When an account is closed, we delete or anonymize its data within 30 days, except where we must keep some records to meet legal obligations.
Security
We protect data with access controls that separate each workshop's data from others, encrypted connections (HTTPS), and role-based permissions inside each workshop. No system is completely secure, but we work to protect your data and will notify affected users of a serious breach as required by law.
Your rights and how to delete your data
You can ask to access, correct or delete your personal data. To request deletion:
- Email [email protected] with the subject "Data deletion request".
- Include the phone number or email address linked to your data, and, if you are a workshop's customer, the name of the workshop.
- We will confirm your request and complete it within 30 days. If your data is held for a workshop, we will act on the workshop's instructions and may forward your request to them.
If you are a customer of a workshop that uses Pitlane, you can also contact the workshop directly. You can stop receiving WhatsApp messages from a workshop at any time by telling it, or by blocking its number in WhatsApp.
Children
Pitlane is a business tool and is not directed at children. We do not knowingly collect data from children.
Changes to this policy
We may update this policy as our products change. We will update the date at the top, and for significant changes we will notify account owners.
